Position Overview
The Landscape Design & Install Office Assistant is a detail-oriented, customer-focused support role responsible for coordinating administrative and operational tasks that keep the design and installation process running efficiently. This position works closely with the Design & Install team and Project Manager to manage scheduling, documentation, communication, and customer interactions throughout the lifecycle of a project.
This role is ideal for someone who thrives in a fast-paced, seasonal environment, enjoys balancing multiple priorities, and takes pride in providing excellent customer service while supporting a collaborative team.

Primary Responsibilities
· Manage all aspects of the landscape consultation process, from scheduling and confirmations through invoicing
· Maintain organized digital and physical filing systems for landscape design consultations and plant delivery services
· Serve as the primary point of contact for clients regarding consultation appointments, deliveries, and general inquiries
· Send professional and timely reminders, confirmations, invoices, and supporting documentation to clients
· Prepare paperwork and documentation for operations staff to pull, stage, and prepare plant material for delivery
· Coordinate with the Hopkinton Retail Sales Manager as needed regarding plant deliveries and logistics
· Assist with scheduling daily and weekly installation work, coordinating with crews, subcontractors, and designers
· Support the department manager with project documentation, filing systems, and administrative follow-up
· Help troubleshoot customer questions or concerns and route issues appropriately to ensure resolution
· Contribute to smooth day-to-day operations by proactively identifying gaps, deadlines, or scheduling conflicts

Qualifications & Requirements
· Strong organizational skills with exceptional attention to detail
· Excellent customer service skills and a professional, approachable demeanor
· Outstanding written and verbal communication abilities
· Experience using POS systems
· Proficiency with Microsoft Office tools (Outlook, Teams, Excel, Word, etc.)
· Ability to work effectively in a fast-paced, seasonal environment with shifting priorities
· Self-starter capable of supporting multiple team members simultaneously
· Positive attitude with a strong desire to contribute to team success
· Ability to understand basic landscape terminology (plants, materials, grading, etc.) or a willingness to learn
· Valid driver’s license

Preferred Qualifications
· Prior experience in landscape design, horticulture, construction, or a related field
· Familiarity with CAD or landscape design software (e.g., Dynascape, SketchUp, or similar programs)
· Knowledge of local plant material, hardscape products, or nursery operations
· Bilingual: English / Portuguese

Physical Requirements
· Ability to handle plant material, bagged goods, and light office supplies (up to 30 lbs)
· Occasional outdoor site visits in varying weather conditions
